Roles and permissions

The three Vigilis roles, what a member reaches versus an admin, custom roles at the Roles tab, and how your plan and role together decide what you see.

What you can see and do in Vigilis is decided by two things: your role and your organization’s plan. Feature availability is set by your provider, so if something described here is missing, it is usually one of those two.

The three roles

  • Admin covers everything a member can do, plus administration: members, roles, authentication, integrations, notifications, and billing settings.
  • Member gets day-to-day working access: reviewing invoices, working with the service inventory, opening and updating tasks, and viewing contracts.
  • Viewer is read-only in intent.

One caveat on Viewer: a viewer may still see some edit buttons that then fail when used. Treat Viewer as read-only, and if you need to make changes, ask an admin to give you a role that allows it.

What a member reaches versus an admin

Both members and admins see the dashboard, invoices and the review queue, the service inventory, and contracts. Admins additionally reach the sections meant for administration.

Because feature gating is applied softly, most organizations currently see everything. The list below describes the intended model. Depending on your plan and role you may not see every item; if so, ask your provider.

A note on Reports

Reports availability depends on your plan and requires an admin role. The whole Reports section, including the Reports Hub, Financial, Budgets, AP/GL Report, Lifecycle, AI Reports, and the Pivot Table, sits behind both gates.

Reports is not unlocked by the Projects, Expenses, or Network add-ons. It requires the separate Reports feature on your plan. If you are an admin and still do not see Reports, ask your provider whether the Reports feature is enabled for your organization.

Custom roles

Beyond the three built-in roles, an org admin can create custom roles at the Roles tab in administration. A custom role is built with a permission editor covering viewing and editing organization data, services, invoices, contracts, and network, along with viewing reports and managing documents, members, and settings. If a section is missing

If you cannot find something described in this help center, it is either role-based (ask an admin at your company to check your role) or plan-based (ask your provider whether that add-on is enabled).

Common questions

What are the roles in Vigilis?
There are three built-in roles: Admin, Member, and Viewer. Admin covers everything a member can do plus administration. Viewer is read-only in intent. An org admin can also create custom roles at the Roles tab.
Why can a colleague see a section that I cannot?
Visibility depends on two things: your role and your organization's plan. Sections such as Alerts, Network, Projects, Tickets, and Reports are intended for admins, and some sections are paid add-ons. Ask an admin at your company to check your role, or your provider to check your plan.
Do the Projects or Network add-ons unlock Reports?
No. Reports requires an admin role and the Reports feature on your plan. It is not unlocked by the Projects, Expenses, or Network add-ons. If you need Reports, ask your provider whether the Reports feature is on your plan.
