The Review Queue
Some invoices are held for a quick check before they join your list. Here is why items land in the Review Queue and how you clear them with Confirm or Create N.
Not every invoice needs your attention. Most process cleanly and appear straight in your invoice list. When Vigilis is not fully confident in what it extracted, or it found charges it could not match to an existing service, the invoice is held for a quick check instead.
Where those invoices go
The Review Queue (/invoices/review, under Billing in the sidebar) is where those items wait for you. Everyone in your organization can open it.
Why an item is flagged
Open an item and Vigilis shows the specific reason or reasons it was held. Reasons you may see include:
- Low confidence in the extraction.
- A validation error in the numbers.
- A charge that looks billed to another company.
- A customer mismatch.
- An unusually collapsed invoice.
- A suspected duplicate.
- Unmatched line items.
- A reassignment.
Clearing an item
- Open the item, check that the details look right, and click Confirm. It then appears normally in your invoice list.
- If Vigilis proposes creating new services from an invoice’s unmatched charges, you see a Create N button instead. Reviewing and clicking it adds exactly the services it proposed to your inventory, then confirms the invoice. See Service inventory.
You get a notification (email or the in-app bell, depending on your preferences) when something lands in your Review Queue. If a colleague opened and reviewed an item before you (for example when you both got the same email link), a note tells you who reviewed it and when, so no one clears the same invoice twice.
