Service inventory

Your service inventory is the running list of everything you pay for. Here is what a service record holds, how to add or import services, and the lifecycle.

Your service inventory is the running list of everything you pay for: circuits, lines, cloud services, hardware, anything tracked as a recurring or one-time cost.

Services

/services, under Inventory. This is your master list. Each row shows a service’s provider, monthly recurring charge (MRC), contract term, location, category, and current lifecycle status.

Adding a service manually

Click New Service to add one by hand. The form captures the fields Vigilis tracks for a service:

  • Client, provider, and account
  • Location and category
  • Service ID
  • MRC and NRC (non-recurring charge)
  • Term, billing frequency, and notice period
  • GL code and cost center

Importing a CSV

Use Import CSV to bring in many services at once. A few limits to know:

  • Up to 5000 rows per file.
  • Include a header row.
  • Friendly column names work, so headers like service id, lifecycle, bandwidth, mrc, provider, location, account number, install date, cost center, and gl code are recognized.
  • A row is skipped if its service ID already exists, so re-importing a file will not create duplicates.

The service lifecycle

Every service carries a lifecycle status that tracks it from order to disconnect:

Pending Order, Ordered, In Progress, Installed, Activated, then either a MAC change or Pending Disconnect, and finally Disconnected. Canceled is the abort path if an order never completes. Disconnected and Canceled are final states.

Rightsizing on the Utilization tab

If your plan includes the Network add-on and Vigilis has real usage data for a circuit, the service’s Utilization tab suggests whether it is the right size. Depending on your plan and role you may not see this tab; ask your provider if you expect it and it is missing.

Rightsizing looks at 95th-percentile usage and classifies the service as:

  • Over-provisioned: p95 usage at or below 35%.
  • Right-sized: p95 usage between 35% and 80%.
  • Under-provisioned: p95 usage at or above 80%.
  • Insufficient data: fewer than 12 samples, so there is not enough history to judge.

When there is enough data, it also suggests a speed that keeps some headroom above your measured peak.

Filtering and sorting

Every table on the Services page supports the same inline filtering and column sorting as the rest of the app, so you can quickly narrow down by provider, category, location, or status.

Common questions

What fields does a service record hold?
Client, provider, account, location, category, service ID, MRC and NRC, term, billing frequency, notice period, and GL and cost-center codes. Provider, MRC, term, location, category, and lifecycle status show in the master list.
How many rows can I import from a CSV at once?
Up to 5000 rows per file. Include a header row, and if a row's service ID already exists in your inventory it is skipped so you don't create duplicates.
What do the lifecycle statuses mean?
They track a service from Pending Order through Ordered, In Progress, Installed, and Activated, then MAC changes or Pending Disconnect and Disconnected. Canceled is the abort. Disconnected and Canceled are final.
